WIHI instructions

This tutorial will guide you through the use of the Wihi system in different stages of your thesis.
Instructions for the thesis process can be found on their own page.

Progress of the Thesis Project in Wihi

You may acces to Wihi in two ways:

Go to web address wihi.hamk.fi and log in with your HAMK id and password.

Go to student’s Pakki desktop and choose Wihi icon or letter W from the top bar.

Make sure your study right is correctly selected in the top right corner of the screen. If you have more than one study right, choose the correct one from the list to ensure proper access and functionality.

Select Create a topic proposal, a new window will open.
Fill in the form carefully. Make sure to complete at least the required fields, which are marked with a red asterisk.

You can save your topic proposal as a draft at any stage and continue editing it later.
If you choose to cancel, the draft will be deleted. You can find your draft on the Wihi front page, where you can continue editing it. You can also delete a topic proposal that is still in draft status.

Working on your thesis as a pair or group? If so, add your group member(s) to the project. Type the member’s name in the Invite group members field. Make sure the correct degree program is shown under Group members. Group members will be notified by email. Note: You can only invite group members during the topic proposal creation and draft stages.

If you have been invited to participate in a group thesis project, you will see a Project Invitations section on the front page, along with the names of the other group members. You may choose to accept or decline the invitation. If you decline, the person who sent the invitation will be notified in their workspace. Note: All invited members must accept the topic proposal before the coordinator can approve it.

Write the Thesis title in English to both name fields. At the beginning of your thesis process, the title may be informal or a working title. However, please remember to update the final title before submitting your thesis for plagiarism check. The thesis title will be transferred from Wihi to Pakki along with your grade, and eventually appear on your degree certificate. Therefore, it is extremely important that the title is correctly formatted and free of errors.

The planned start and end dates of your thesis are indicative and can be adjusted as your work progresses.

Please select the type of your thesis from the dropdown menu. If you are not yet certain about the type, choose ‘Unknown’. You can update this information later as needed.

You may add the Advising time preference, but please note that each degree programme may have its own schedule for individual and group supervision.

The description of the thesis content, objectives, and outcomes is the only mandatory field.

Commissioning information is not required for submitting the topic proposal, but it is highly recommended to provide it as early as possible.

Commitment to good scientific practice is mandatory, tick the checkbox to confirm.

Once all required information has been completed, submit your topic proposal. This will open the project view for your thesis. Your proposal will be forwarded to the Wihi coordinator for approval. The coordinator may either approve the proposal or request additional information. You can edit the thesis details by clicking the Edit button.

Once your topic proposal is approved and a thesis supervisor is assigned to you, you will receive a notification by email. The thesis workspace will then be opened.

When the topic proposal is approved, and the thesis supervisor is named opens thesis worspace.

This section provides a brief overview of the functions available in the workspace. For more detailed instructions, please refer to the Wihi User Manual in the Wihi system.

Sending a Message
You can send messages to your supervisor(s) related to your thesis phase by selecting Write a message. A pop-up window will open where you can type your message and send it by clicking Save. Your supervisor will receive an automatic email notification about the message. The message will be visible in the Wihi project view to all group members, supervisors, and reviewers.

Uploading a File
To upload a file, go to the Files section and click Upload file. A pop-up window will appear. Click +Select files or drag your file into the upload area. If you want to rename the file, click the pencil icon, type the new name, and press Enter. To cancel the upload, click Cancel. To save the file, click Submit. You can delete files you have uploaded yourself, but you cannot delete files added by other group members. Supported file formats include, for example, Word and PDF.

Sending a File for Comments
You can send a file, for example, your thesis to a commissioning party for comments. Click Send for external comments below the file name. A pop-up window will open.

Fill in the recipient’s email address, subject, and message, then click Send. A record of your request will appear in the Statements by interest groups section.

Creating and Editing Tasks
You can create personal tasks in your thesis workspace, for example, Attend the planning seminar. Click Create task to open a pop-up window. Enter the task details and click Save. You can edit or delete a task you’ve created, as long as you haven’t started it yet.

Draft Plagiarism Check
You can submit your thesis for a plagiarism check at any stage of the thesis process. The plagiarism check result is visible only to you, your supervisor will not see the result itself. However, your supervisor will be notified that you have used the plagiarism check feature. The official plagiarism check will be conducted during Phase 3 of the thesis process.

At this stage, you are expected to complete the Thesis Open Badge and begin planning the preliminary schedule for your thesis.

If you have not yet completed the Thesis Open Badge, please access it via the link in your Wihi project view. This will take you to Learn-Moodle, where you can complete the badge. Your completion data will automatically appear in Wihi within approximately one hour. Once your supervisor has reviewed your badge completion, you may continue with your thesis project in Wihi.

Please enter your planned schedule for each of the three phases as soon as possible (Planning, Implementation and Thesis ready for evaluation). You may update the dates as your work progresses.

If your thesis involves a commissioning party, please remember to attach the digitally signed Thesis agreement (in PDF format) to the thesis plan files. Name the file as: ThesisAgreement_YourName. You can find the agreement template and instructions for collecting electronic signatures in the Planning phase of the thesis guidelines.

After presenting your thesis plan in the planning seminar and making any necessary revisions, upload the final version of your plan to the project using the Upload file button (Word or PDF format).

Once your supervisor approves the Planning phase in Wihi, a HYV (approved) entry will be recorded in Pakki’s study records, and the next phase, Implementation, will be opened.

Upload your thesis as a Word or PDF file to the Wihi workspace.

You can communicate with your supervisor via the messaging feature in Wihi.

Once your supervisor approves the Implementation phase in Wihi, a HYV (approved) entry will be recorded in Pakki’s study records, and the Thesis ready for evaluation phase will be opened.

At this stage, you will submit your completed thesis for plagiarism check.
In the Plagiarism Check section, click Upload File. A new window will open, click Select Files and upload your thesis as a PDF file (maximum file size: 20MB). You can rename the file by clicking the pencil icon. Scroll down and accept the Turnitin End User License Agreement (EULA). Click Submit to send your file for plagiarism analysis.

You can monitor the progress of the check under Status. Once your supervisor has approved the plagiarism check result, the status will change to Analyzed. You may choose to restrict the use of your thesis, although this is not recommended. Please consult your supervisor if you are unsure. If the supervisor rejects the plagiarism check, review their comments, make the necessary changes, and upload a revised file for a new check.

If your thesis has a commissioning party, submit the thesis for their review.
Upload the file to Wihi and send it for external comments. The commissioning party will receive an email with a link to download the file and provide comments.

Ensure the Final Version is in Wihi
If you make any changes to your thesis after the plagiarism check, upload the final version to Wihi. This should be the same version you submit to Theseus or your institution’s internal thesis archive. This ensures that the correct version is also archived through Wihi.

Before you can view the final evaluation and assessment statement of your thesis, the following steps must be completed.

Add the link to your published thesis
Click Add and enter the link in URN format. If your thesis is not published in Theseus, add the link to HAMK’s archive instead. The library will send you the link by email for theses stored in Theseus or HAMK’s archive.

Wihi will not accept incorrectly formatted links.

Viewing your assessments in Pakki and Wihi
Once the published link is approved and the thesis is archived in Wihi, the final grade will be transferred to Pakki, and the evaluations for each phase will be updated from HYV (approved) to a numerical grade.

You can read the assessment statement in Wihi by selecting Download evaluation (PDF). It is recommended to save the evaluation statement for your own records, as it will not be transferred to Pakki.
